Managed IT support vs an in-house IT team: which is right for you?

Should you hire IT staff, outsource to a managed service provider, or combine both? A practical comparison of cost, coverage, skills and risk, and the questions to ask any provider.

Every growing business reaches the point where “the person who is good with computers” is no longer enough. The next step is usually one of three options: hire an in-house IT team, outsource to a managed service provider (MSP), or combine the two.

There is no single right answer. This guide compares the options so you can choose what fits your business.

The in-house option

An in-house IT person or team works only for you. They know your people, your systems and your quirks, and they are physically present when something breaks.

Strengths

  • Immediate, on-site presence and deep knowledge of your business.
  • Full control over priorities day to day.

Limitations

  • Coverage: one or two people cannot cover nights, weekends, leave and sickness.
  • Breadth of skills: modern IT spans networking, servers, cloud, security, backup and end-user support. Few individuals are strong in all of them.
  • Cost and retention: salaries, training, certifications and tools add up, and skilled IT staff are in high demand.
  • Key-person risk: when someone leaves, a lot of undocumented knowledge leaves with them.

The managed services option

A managed service provider takes responsibility for your IT under an agreed service level agreement (SLA), usually for a predictable monthly fee.

Strengths

  • A whole team, not one person, with specialists in networking, security, infrastructure and support.
  • Proactive monitoring of servers, network and security, so many problems are fixed before users notice.
  • Predictable costs and clear response and resolution times written into the contract.
  • Documentation and process: a good provider documents your environment, which reduces key-person risk.

Limitations

  • Less day-to-day presence unless on-site visits are part of the agreement.
  • Quality varies a lot between providers, so choosing well matters.

At a glance

In-house team Managed services Co-managed (both)
Coverage Office hours, limited by headcount Extended or 24/7, depending on SLA Extended, with local presence
Skills Limited to the people you hire Broad specialist team Broad, plus internal knowledge
Cost Salaries, training, tools Predictable monthly fee Mix of both
Monitoring Often reactive Proactive by design Proactive
Best for Large or highly specialised environments Small and mid-sized organisations Growing organisations with an IT lead

The best of both: co-managed IT

Many organisations land in the middle. They keep an internal IT lead who knows the business and handles day-to-day priorities, and use a managed service provider for monitoring, security, out-of-hours cover, projects and specialist skills. The internal team is freed from firefighting, and the business gets depth and resilience it could not afford to build alone.

Questions to ask any managed service provider

If you are considering managed support, these questions separate strong providers from weak ones:

  1. What are your response and resolution times, and are they written into the SLA?
  2. What do you monitor, and what happens when an alert fires at 2am?
  3. Do you provide on-site support, and how quickly can an engineer be at our office?
  4. How do you handle security, including patching, endpoint protection and backups?
  5. What reports will we receive, and how often will we review service together?
  6. Will you document our environment, and do we own that documentation?
  7. What happens if we leave? A good provider makes the exit clean and hands everything over.
